1. Scope and our role
This Privacy Policy explains how StageVista Entertainment collects, uses, retains, and discloses personal information in connection with this website, project inquiries, estimates, production planning, remote collaboration, digital-content services, virtual-event support, post-production, and delivery. It applies when you visit the website, submit a form, request or purchase services, communicate with us, participate in a project, or otherwise provide information to us.
For client projects, StageVista Entertainment generally acts as the business deciding why and how ordinary account, project, and communication information is processed. When a client provides footage, participant lists, audience materials, or other content for us to process only under the client's instructions, the client may remain responsible for determining whether that material was collected and shared lawfully. The applicable proposal or service agreement may contain additional data-processing terms.
This policy covers StageVista Entertainment. A third-party platform, payment provider, file-transfer service, video host, event platform, or other service has its own privacy practices. We encourage you to review those practices before using the relevant service.
2. Information we collect
Information you provide directly
We may collect your name, company or project name, business email address, telephone number, billing address, project goals, selected services, budget range, requested timeline, preferred communication method, and the text of your messages. If a project moves forward, we may also collect production briefs, schedules, brand guidelines, scripts, footage, audio, graphics, captions, review notes, approval records, delivery specifications, and names or roles of project participants.
Transaction and commercial information
We may maintain records of estimates, accepted proposals, invoices, payments, refunds, service selections, project status, and correspondence about a transaction. Payment-card information is ordinarily processed by the payment provider or commerce platform and is not intended to be stored directly by StageVista Entertainment.
Information collected automatically
When you use the website, technical systems may record an Internet Protocol address, device and browser type, operating system, language, approximate region derived from an IP address, referring page, pages viewed, timestamps, navigation events, form interactions, and diagnostic or security information. Cookies or comparable browser storage may remember preferences such as the selected light or dark display mode and may support essential site operation, measurement, fraud prevention, or consent choices.
Information from other sources
We may receive information from the organization that engages us, authorized team members, collaborators, production vendors, referral partners, publicly available business sources, or service providers that support scheduling, payments, security, analytics, file delivery, and communications. We combine such information only when reasonably necessary for the purposes described in this policy.
Sensitive and project-content information
We do not request government identification numbers, medical records, account passwords, precise geolocation, or other highly sensitive information through the general contact form. Please do not submit such information unless we specifically request it for a legitimate project need and provide an appropriate secure method. Client-provided footage may incidentally contain people, voices, locations, or other personal information; the client is responsible for obtaining appropriate permissions and limiting unnecessary disclosure.
3. Why we use information
We use personal information when reasonably necessary to:
- respond to an inquiry, evaluate project fit, prepare an estimate, and schedule a consultation;
- create a scope of work, coordinate production stages, provide selected services, conduct reviews, and deliver final files;
- maintain client accounts, project history, approvals, licenses, invoices, payments, and business records;
- communicate operational notices, timeline changes, review requests, delivery instructions, and service-related updates;
- personalize website preferences and understand whether the website and forms function as intended;
- protect systems, projects, clients, and users; detect misuse; troubleshoot errors; and enforce contractual terms;
- comply with tax, accounting, legal, regulatory, insurance, and recordkeeping obligations;
- establish, exercise, or defend legal claims and resolve complaints or disputes; and
- improve workflows, service descriptions, accessibility, and project planning using aggregated or de-identified observations where practical.
We do not use client footage or confidential project materials to train public generative-artificial-intelligence models unless the client has expressly authorized that use in writing. If an approved production workflow uses an AI-enabled tool, the applicable project documentation should identify the intended purpose and any relevant handling terms.
4. When information may be disclosed
We may disclose information to service providers and contractors that perform functions on our behalf, such as website hosting, commerce operations, cloud storage, project management, video review, file transfer, email delivery, security monitoring, bookkeeping, payment processing, and professional advice. They receive only the information reasonably needed for their assigned function and are expected to handle it under applicable contractual or legal restrictions.
Project information may be shared with collaborators or subcontractors identified for the relevant production, such as editors, audio specialists, motion designers, production coordinators, or virtual-event technicians. We limit this sharing to the work they are engaged to perform.
We may disclose information when we reasonably believe disclosure is required by law, subpoena, court order, or lawful government request; necessary to protect rights, safety, systems, or property; related to suspected fraud or security incidents; or relevant to the transfer, financing, reorganization, or sale of all or part of the business. If a business transfer occurs, the recipient may use information only as permitted by this policy and applicable law unless it provides a new notice.
No sale of personal information
StageVista Entertainment does not sell personal information for money. We do not currently use personal information for cross-context behavioral advertising or targeted advertising based on activity across unrelated websites. If these practices materially change, we will update this notice and provide any choice required by applicable law before the new practice begins.
5. Your privacy choices and rights
Depending on where you reside and whether a law applies to the relevant processing, you may have the right to confirm whether we process your personal information; access it; correct inaccuracies; delete certain information; obtain a portable copy; opt out of certain sales, targeted advertising, or qualifying profiling; withdraw consent; or appeal a denied request. Legal exceptions may allow or require us to retain or continue processing some information, including records needed to complete a transaction, secure systems, maintain evidence of rights and approvals, comply with law, or establish legal claims.

We may ask for information reasonably necessary to verify your identity and authority. An authorized agent may submit a request when permitted by law, but we may require proof of authorization and direct confirmation from the consumer.
We aim to acknowledge a privacy request promptly and respond within the period required by applicable law. If we deny all or part of a request, we will explain the reason and, where required, describe how to appeal. To appeal, state that your message is a “Privacy Appeal” and identify the earlier decision. We do not discriminate against a person for exercising an applicable privacy right.
Marketing and operational communications
We do not require promotional email consent as a condition of requesting a project estimate. You may ask us to stop promotional communications. We may still send non-promotional communications required to respond to a request, administer a project, document a transaction, or provide a legal or security notice.
Browser controls
You may use browser settings to restrict or delete cookies. Blocking essential storage can prevent preferences, forms, or commerce functions from working correctly. Where required and technically supported, we will treat recognized universal opt-out signals, such as Global Privacy Control, as a request for the browser or device that sends the signal.
6. Security, retention, and location
Security
We use administrative, technical, and physical safeguards designed for the nature of the information and the scale of our operations. Measures may include access controls, unique credentials, multi-factor authentication where available, encrypted transfer or storage through service providers, role-based project access, backups, and review of service-provider practices. No Internet transmission or storage method is completely secure, and we cannot guarantee that unauthorized access will never occur.
Retention
We retain information only for as long as reasonably necessary for the purpose collected, a continuing client relationship, agreed project archiving, warranty or revision periods, legal and tax obligations, security, dispute resolution, and enforcement. Retention periods vary by record type. General inquiries that do not become projects are ordinarily kept for a shorter period than contracts, invoices, rights documentation, approval histories, and final deliverables. When information is no longer needed, we take reasonable steps to delete it, de-identify it, or place it beyond routine use, subject to backup cycles and legal holds.
United States processing
StageVista Entertainment is based in Montana, United States. Information may be processed in the United States and in other places where approved service providers operate. Privacy laws in those locations may differ from the laws where you live. When applicable law requires a transfer mechanism or additional protection, we will use an appropriate measure.
Children
The website and services are intended for business users and people who are at least 18 years old. We do not knowingly collect personal information online directly from children under 13. A client that provides material involving a minor is responsible for obtaining appropriate parent, guardian, participant, and location permissions. If you believe a child submitted personal information directly to us without proper authorization, contact us so we can review and take appropriate action.
7. Changes to this policy
We may update this Privacy Policy when our services, technology, vendors, or legal obligations change. The “Last updated” date identifies the current version.
